How to Generate PowerPoint Files With Zapier and an API

September 16, 2026·3min Read·by Presenton Team

Build a Zap that sends approved data to a presentation API, handles asynchronous generation, and stores an editable PowerPoint without exposing credentials.

Can Zapier generate PowerPoint presentations?

Yes. A Zap can collect data from a trigger app, prepare a presentation brief, send an authenticated API request, track the asynchronous generation job, and save or distribute the resulting PPTX. Zapier can call external APIs through its API and webhook tools even when there is no dedicated app action.

Credential choice matters: Zapier’s current guidance recommends API by Zapier when an API key should live in a managed connection. Webhook step fields may be visible to people who can edit the Zap.

Build the Zap

  1. Choose a triggerUse a form, CRM stage, spreadsheet row, schedule, or webhook.
  2. Filter the eventContinue only when the record is approved and complete.
  3. Format the sourceCreate a concise brief or validated JSON object.
  4. Call the APISend a POST request to start asynchronous generation.
  5. Track the taskStore the task ID and check status with a bounded delay.
  6. Deliver safelySave the result and notify only authorized recipients.

Create the API request

Method: POST
URL: https://api.presenton.ai/api/v3/presentation/generate/async
Headers:
  Authorization: Bearer [managed API key]
  Content-Type: application/json
Body:
{
  "content": "Create a customer-ready proposal using the approved deal fields.",
  "n_slides": 8,
  "tone": "sales_pitch",
  "verbosity": "concise",
  "standard_template": "general",
  "export_as": "pptx"
}

Use a raw or custom JSON request only when needed and validate the JSON carefully. Zapier notes that Custom Request is less forgiving because it does not automatically format the body.

Send only approved fields

A CRM trigger can expose far more information than a deck needs. Create an allowlist. Avoid sending internal notes, private contact fields, unrelated attachments, or personal data unless the workflow is authorized to process them.

Keep customer-visible claims, prices, and dates deterministic. Do not let a generative step invent proof points or commitments.

Handle a long-running job

A single Zap action should not wait indefinitely. Save the returned task ID, add a delay, and call the status endpoint. Stop after a maximum deadline. For reliable high-volume use, send completion events to a Catch Hook or use a small backend that owns job state and lets Zapier handle only the business trigger and final notification.

Prevent duplicate and failed decks

Problem Control
Zap replay creates another deck Store a stable business key before generation
Rate limit Use Delay After Queue and bounded retries
Invalid record Filter and validate before the API step
Status timeout Mark for later reconciliation instead of resubmitting
Wrong recipient Look up and authorize the destination separately

High-value Zapier use cases

  • proposal deck when an opportunity is approved;
  • weekly performance deck from a spreadsheet;
  • customer onboarding slides from a form;
  • meeting summary presentation after an approved transcript;
  • agency report stored in the client’s workspace;
  • training deck generated from a reviewed lesson plan.

Create your first PowerPoint Zap

Start with a test record and one internal destination, then add approval and delivery after the deck passes review.

FAQs

Curious about something?

Find quick answers to common questions about generating presentations from documents.

Should I use Webhooks by Zapier or API by Zapier?

Use the option that supports the required authentication and credential controls. Zapier currently positions API by Zapier for APIs that require an API key stored in a connection.

Can Zapier handle files?

Yes, but confirm the selected action's file behavior and payload limits. Large documents may be better uploaded through a backend designed for file processing.

Can the Zap publish or email the deck automatically?

Technically yes, but add a review step for customer-facing, financial, legal, or high-visibility content.
